PAIA AND POPIA COMPLIANCE MANUAL

Subject: Statutory Manual in terms of Section 51 of PAIA and Section 17 of POPIA


1. Introduction

This manual is compiled in accordance with Section 51 of the Promotion of Access to Information Act, No. 2 of 2000 (“PAIA”) and addresses the requirements of the Protection of Personal Information Act, No. 4 of 2013 (“POPIA”) for Code Rise Solutions.

Code Rise Solutions is a South African software development house specializing in custom digital solutions and a structured mentorship program for IT graduates. This manual serves as a roadmap for data subjects (clients, employees, and partners) to understand what information is held by the company and how to exercise their rights.

3. The Guide on how to use PAIA (Section 51(1)(b))

The Information Regulator has, in terms of section 10(1) of PAIA, as amended, updated and made available the revised Guide on how to use PAIA. This guide is available in all official languages at the office of the Information Regulator (https://inforegulator.org.za/).


4. Processing of Personal Information (POPIA Section 17)

Code Rise Solutions processes personal information to facilitate software development, recruitment for mentorship, and business operations.

4.1 Purpose of Processing

  • Clients: To provide custom software development and IT strategy advice.

  • Mentorship Candidates: To assess applications and manage the year-long training program.

  • Marketing: To communicate services to potential partners and affiliates.

  • Compliance: To meet tax, labor, and legal obligations.

4.2 Categories of Data Subjects and Information

  • Natural Persons (Employees/Students): Name, ID number, contact details, academic transcripts, employment history.

  • Juristic Persons (Clients/Partners): Registration details, tax info, contact persons, financial/bank details for invoicing.

4.3 Recipients of Personal Information

We may share personal information with:

  • Affiliates and resellers (as mentioned on the website).

  • Statutory bodies (SARS, Department of Labour).

  • Service providers (Cloud hosting, payroll).


5. Description of Records Held (Section 51(1)(e))

The following records are maintained by Code Rise Solutions:

6. Information Security Measures

Code Rise Solutions implements appropriate technical and organizational measures to secure personal information:

  • Encryption: Use of HTTPS protocol for the website and encrypted data storage.

  • Access Control: Information is restricted to authorized personnel only.

  • Anti-Virus/Firewalls: Regular updates to prevent unauthorized electronic access.


7. How to Request Access to Information

Requests for access to records must be made using Form 2 (available on the Information Regulator’s website https://inforegulator.org.za/ ).

  1. Submission: Send the form to the Information Officer at tshepo@coderisesolutions.co.za.

  2. Fees: A request fee may be payable. If the request is granted, an access fee for reproduction and search time will be charged.

  3. Response: The Information Officer will respond within 30 days.
